Job Description: Administrative Assistant for Local One
**Position Title: Administrative Assistant
**Location: New York City Office
**Hours: 9:30 am – 5 pm; 30-minute meal period; maintain a 5-day presence in office
**Reports To: Union Secretary
Job Summary
The Administrative Assistant supports the Local Union Office's daily operations with various administrative functions and facilitates an effective and interactive environment for union members and their families. In this capacity, responsibilities include processing expenses, assisting union members with benefits plans, records maintenance, and collaborating daily with union members. The ideal candidate is highly organized, detail-oriented, and capable of handling multiple tasks simultaneously.
Key Responsibilities:
1. Member Services:
· Assist union members and surviving spouses with benefit claims, including doctor visits, eyeglass claims, RX reimbursement, and premium reimbursement.
2. Communication:
· Email the membership regarding death notices, general announcements, and meeting information.
· Proofread, format, and prepare Minutes for monthly meetings.
3. Records Maintenance:
· Input and update union members' information in the database.
· Voucher union bills and month-end expenses in QuickBooks.
4. New Member Onboarding:
· Schedule and conduct meetings with new candidates on membership enrollments.
· Coordinate candidate meetings with Executive Directors.
· Create and update new members’ files electronically.
5. Office Operations:
· Order and maintain office supplies and inventory.
· Answer and direct all incoming calls to the office.
· Facilitate the acceptance and delivery of all mail.
6. General Administrative Support:
· Prepare the annual Minute Book for binding.
· Draft memorandum, create spreadsheets and presentations upon request.
Qualifications:
High school diploma or equivalent; additional administrative training or certifications are a plus.
Proficiency in QuickBooks, Microsoft Office Suite (Excel, Word, Outlook), and other office software.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Ability to handle sensitive information with confidentiality and discretion.
Previous experience in a union environment is preferred but not required.
